Simple Batch Team Assignment Workflow
There are multiple ways to manage Team assignments in the EventManager. One simple way to assign people to teams is to follow these steps:
- PREREQUISITE: Your Challenge should be set up so that both the "Ask for team selection" and "Randomly assign to team" options are turned off. These can be found in the "Onboarding" group of the administrator's console.
- Before the challenge starts, allow participants to join the challenge and have all team selection options off so no participants can be assigned or join a team.
- When the majority of your participants are on board, navigate to the Reports group in the EventManager and download the Team Assignments report.
- Open the downloaded spreadsheet and navigate to the last two columns. Note that column H has the heading Team which should be blank and column I has the heading Is Captain and should contain the value "FALSE".
- Enter the team name in column H for each user you want to assign. Make sure the names are consistent throughout this process (e.g., use of space, spelling, etc.). If you have an existing spreadsheet with these assignments, VLOOKUP is a useful spreadsheet function to automate this process.
- If you want to assign captains, change the "FALSE" value to "TRUE" in column I for each of the participants you want to make captains.
- Save the spreadsheet.
- Navigate to the Teams group in the EventManager.
- Select the Team Assignment button.
- Select the Upload button.
- Select the spreadsheet file you edited and upload it.
- Your participants will now be assigned to teams and the teams will be assigned captains.
- Anyone who joins after this process will need to be assigned manually. This can be done by selecting the user in the EventManager and assigning their team on the detail page.
